Who is responsible
Clear Group Limited is the controller of personal information used to manage enquiries for Traveling Tutors. Our company number is 03692003. You can contact Clear Group Limited by email at bdavy@clear-group.co.uk, by telephone on 020 7689 5155, by requesting a conversation about privacy when online enquiries are available, or by writing to 11 Approach Road, London, England, SW20 8BA.
The information we ask for
We ask adults for their name, contact details and role, together with a broad educational brief: intended location, dates, duration, educational stage and objectives. Student numbers, subjects, budget and preferred contact times help us understand the request. The short conversation form asks for less information and can also be used for privacy questions or complaints.
We obtain this information directly from you or from an authorised representative. Please do not include children’s names, health or diagnostic reports, identity documents, exact addresses, detailed itineraries or other sensitive information in an initial enquiry. We will agree a suitable route and explain the relevant privacy arrangements if further information is needed later.
Why we use it
- Responding to an enquiry and preparing a proposal: where you ask about services for yourself, we use information as necessary to take steps at your request before entering a contract.
- Enquiries through a family office, adviser or other representative: we rely on our legitimate interest in responding to authorised requests and arranging appropriate education support, taking account of the people involved and their privacy.
- Security, administration and complaints: we rely on legitimate interests in operating a reliable service, preventing misuse and resolving concerns, or on a legal obligation where one applies.
- Permission-based sharing: before sharing personal details with a proposed tutor or partner for sourcing, we ask for separate permission and explain the recipient, information and purpose. Where consent is the lawful basis, you can withdraw it.
Sending an enquiry does not subscribe you to marketing or authorise circulation of your details across our network. We do not sell enquiry data or make solely automated decisions about a family’s eligibility for our services.
Who receives information
Access within Clear Group Limited is limited to people who need the information to respond to and manage your request. Our hosting, form-delivery and email providers handle information needed to operate the service. These operational providers are distinct from the tutors or partners we may propose to you.
Online enquiries are processed by Formspree, Inc. and delivered to our nominated Gmail inbox, provided by Google. Our website code sends form contents directly to Formspree and does not store submissions on the website host. Website hosting is provided by OpenAI through ChatGPT Sites, using Cloudflare infrastructure. These services may also handle IP addresses, browser details, timestamps, delivery information and security logs. See Formspree’s privacy information and Google’s privacy information.
We may also disclose information where required by law, to respond to a lawful request or where necessary to establish, exercise or defend legal rights. We limit such disclosure to what is needed.
Sharing with a tutor or partner
We name the proposed recipient, explain what we intend to share and why, and ask for your separate permission. A general enquiry is not blanket consent to disclosure. You can ask us to stop future permission-based sharing through the contact routes above. Withdrawing consent does not make earlier lawful processing unlawful; it may mean we cannot continue a particular search.
If a tutor or partner will act as an independent controller, we will explain that and provide their privacy information before sharing. Any need for a different lawful basis or sensitive information will be addressed separately.
How long information is kept
We retain enquiries only while needed to respond, follow up and decide whether a programme should proceed. For enquiries that do not lead to a service, we review retention after 12 months without substantive contact and delete information no longer needed. If we must keep a limited record for a complaint, legal obligation or potential claim, we retain only what is necessary for that purpose.
If you become a client, the relevant service privacy information will explain the records needed for delivery, accounting and the agreed relationship. Provider delivery logs, backups and mailbox copies have their own technical retention arrangements. Questions about deletion can be raised with us through the contact routes above.
Security and overseas processing
We aim to minimise the personal information collected at the first stage. The website does not save enquiry contents in browser storage or make them publicly visible. Transmission by an activated form uses HTTPS. No internet or email service can be guaranteed completely secure, which is why sensitive records should not be sent through the initial form.
Hosting, form processing and email delivery may involve processing outside the UK, including in the United States. Formspree’s published security information describes US infrastructure and the use of Standard Contractual Clauses. Google’s data-transfer information describes its participation in the UK Extension to the EU-US Data Privacy Framework and other transfer arrangements. OpenAI’s ChatGPT Sites Data Processing Addendum includes Standard Contractual Clauses with the UK Addendum for UK hosted data. These are provider-specific arrangements, not a promise of UK-only storage. Contact us using the details above to ask about overseas processing or obtain information about the safeguards applicable to your information.
Cookies and technical information
Our website code does not add advertising trackers, analytics cookies or browser storage. Images and fonts are served with the site. The hosting platform may use essential access and security technologies, where needed to protect access to the service. Form delivery services may process technical information to protect submissions from spam. We will update this notice and provide any required choices before adding optional tracking.
Your rights and complaints
Depending on the circumstances and the lawful basis, you can ask for access to your information, correction, deletion, restriction or a portable copy. You can object to processing based on legitimate interests and withdraw consent where we rely on it. Some rights have exceptions. We may ask for proportionate information to verify your identity and will respond within the applicable legal timescale, normally one month.
Please contact Clear Group Limited using the email, telephone, conversation form or postal address above. You do not need to use a particular form or provide new educational details to make a privacy request. You may also complain to the Information Commissioner’s Office.
Updates
We will update this notice if our processing changes. The date at the top records the latest revision. Further privacy information will be provided if a service requires additional personal information.
